TradeProp Privacy Policy

TradeProp ("we", "us", "our") provides quoting, job follow-up, and invoicing software for trade businesses. This policy explains what personal information we collect, why, who we share it with, and what rights you have over it.

This policy applies to TradeProp account holders (the trade business using the Service) and, to the extent we hold it on their behalf, the customers of a TradeProp account holder (people who receive a quote, invoice, or message through the Service).

We handle personal information in line with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).

1. What we collect

About you, the account holder:

  • Account details: name, email, password (or Google/passkey sign-in credentials, we never see your password if you use those), phone number.
  • Business profile: business name, trade type, business address, ABN or equivalent tax ID, business phone/email/website, logo, and the standard terms text you set up (payment terms, warranty, cancellation policy, etc.).
  • Bank account details you provide so your customers know where to pay you (e.g. BSB and account number, or the equivalent for your country).
  • Billing and subscription status (active, cancelled, etc.) and your Stripe customer reference. We never see or store your card number, Stripe handles payment collection directly and is responsible for that data under its own PCI-DSS compliance obligations.

About your customers, which you enter into TradeProp:

  • Name, company name, phone, email, service address, and billing address, for anyone you add as a contact, lead, or quote recipient.
  • The content of quotes, invoices, and job records you create about them.

Usage data:

  • Which features you use and how often, and, where our AI features are used to help generate content (like a draft quote), the token usage and approximate cost of those calls. We use this to run the Service, to keep it working reliably, and during the beta program specifically, to understand how the product is actually used so we can improve it and cross-check it against beta feedback you give us directly. We do not use this to build advertising profiles, and we don't sell it.

2. Why we collect it

  • To provide the Service: creating quotes, sending emails on your behalf when you use those features, tracking jobs, processing your subscription payment.
  • To improve the product: understanding which features are used, especially during the beta program where we're actively deciding what to build next.
  • To communicate with you: transactional emails (quote sent, payment received, trial ending) and, if you don't opt out, occasional product updates.
  • For security and fair use: detecting unusual account activity and the fair-use review described in our Terms of Service.

3. Who we share it with

We share data with the following third parties, only as needed to provide the Service:

We don't sell your data, and we don't share it with anyone for their own marketing purposes.

4. Where your data is stored

TradeProp's database and file storage are hosted in Sydney, Australia. We don't store your data overseas.

Some of the third-party services listed above (Stripe, Brevo, Anthropic, MailerLite) are international companies and may process data outside Australia as part of providing their service to us, this is a normal part of using those providers, not a separate transfer of your data by us to another country.

5. How long we keep it, and deletion

We keep your data for as long as your account is active. If you close your account or request deletion, contact us at sam@tradeprop.app and we'll action your request, including deleting or exporting your data as requested, within 30 days. We don't currently offer self-service export or deletion from within the app.

We may retain limited records after deletion where required by law (for example, tax or billing records) or to resolve disputes.

6. Your rights

Under the Australian Privacy Principles, you can ask us to:

  • Access the personal information we hold about you.
  • Correct it, if it's inaccurate or out of date.
  • Delete it, subject to the retention exceptions above.

To exercise any of these rights, contact us at sam@tradeprop.app. We'll respond within a reasonable time, and in any event within 30 days.

If you're not satisfied with how we've handled your personal information, you can lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

7. Cookies and tracking

We use a small number of essential cookies/local tokens to keep you signed in and to protect signup and login from automated abuse (we use Cloudflare Turnstile, a bot-detection check, on those forms).

We use the Meta (Facebook) Pixel to measure the performance of our advertising and understand how visitors reach TradeProp and use the product afterward. It runs on our marketing website, sign-up/login pages, and inside your TradeProp dashboard once you're signed in. It is never active on quotes, invoices, or any page your customers see, only on the pages and screens you yourself use as a TradeProp account holder. 8. Changes to this policy

We may update this policy from time to time. If we make a material change, we'll notify you by email or an in-app notice before it takes effect.
